Then, it's important to clearly communicate the actions that will be taken and follow up to ensure the customer is satisfied.
 
I’d probably just start by listening without cutting them off. Most people calm down once they feel heard. Then I’d thank them for bringing it up, ask a couple of questions to understand what really went wrong, and let them know what I can do to fix it. Even if I can’t solve it right away, just showing I care usually makes a big difference.
 
The first thing to do would he to carefully listen to their complaints, this way you can get a better understanding of what the issue is and how to solve it.

You fix what you can on the spot, or you give a clear next step with a time frame. You show the customer that you take responsibility, and most people walk away satisfied when they feel heard.
