The immediate steps for handling a customer complaint are: listen carefully and empathetically to understand the problem, apologize if necessary, and seek a quick and fair resolution. Then, it's important to clearly communicate the actions that will be taken and follow up to ensure the customer is satisfied.
 
I’d probably just start by listening without cutting them off. Most people calm down once they feel heard. Then I’d thank them for bringing it up, ask a couple of questions to understand what really went wrong, and let them know what I can do to fix it. Even if I can’t solve it right away, just showing I care usually makes a big difference.
 
The first thing to do would he to carefully listen to their complaints, this way you can get a better understanding of what the issue is and how to solve it.
